Team Leader (Pensions Administration)

We have an excellent ‘new’ opportunity for a Pensions Administration Team Leader in our Manchester office.

To manage a team administering occupational pension schemes in accordance with contracts to the required standards and deadlines.

To deliver quality standards and service level targets through effective performance management.

Responsible for the administration service for a portfolio of occupational pension schemes plus the people management responsibility for a team of staff.

Leading continuous improvement and enhance the contribution made by the department to the overall development of the business model.


  • 80% of time should be based on active management of the team, having a thorough understanding of what the team need to be working on and how improvements can be implemented;

  • 20% of the time should be based on checking more complex work;

  • Ensure errors and complaints are handled effectively and in accordance with agreed process with remedial action implemented to ensure no re-occurrence;

  • Inspire, motivate, coach and develop individuals to achieve outstanding performance through personal leadership style and behaviour;

  • Assist team members as required and provide support to Administration Manager including deputising in their absence;

  • Attendance at Trustee and ad-hoc client meetings;

  • Accountability for team's pensioner payrolls, pension increases and responsibility to ensure all team's projects and disclosure requirements are completed by the respective deadlines;

  • Management of Trustee bank accounts;

  • Management of investment of contributions;

  • Assisting the client account manager with any documentation they require with carrying out their responsibilities;

  • Monitor transactional activity for Tariff and Fixed fee clients and ensure regular financial information provided to billing manager to ensure work is invoiced in line with the administration client service agreement accurately and in a timely manner;

  • Carry out such other duties and take on additional responsibilities as may be agreed from time to time;

  • Monitor staff performance and progress against goals, addressing any concerns and implementing improvement plans if necessary.

Experience Required:

  • Minimum of 7 years’ experience of occupational pension scheme administration.

  • Extensive experience of working with different occupational pension schemes.

  • APMI or good progress towards completion is desirable but not essential.

  • Confidence to challenge procedures to identify process improvements.

  • Identify and mitigate risks to the business by applying appropriate level of technical expertise and knowledge of products, procedures services and systems.

  • Ability to use data/metrics from the various systems to improve performance and efficiencies.

  • Knowledge to perform and check complex manual calculations.

  • Ability to break down and explain complex calculations in simple terms.

  • Promptly and professionally communicate with clients and scheme members on queries when required via letter, e-mail and telephone

  • Develop a culture of continuous improvement focused on enhancing the end to end customer experience.

  • The desire to ensure the team always provides exceptional customer service.

  • Accountability to our clients, the members and management of the business.

  • Strong working knowledge of Pension administration systems.
